Evidence Requests (PBC)
Evidence requests (also called PBC — "Prepared By Client") let you formally request documents and information from management or process owners. Recipients receive a secure email link to upload their evidence.
Creating an evidence request
- Go to the Evidence Requests sub-tab in the Execution tab
- Click Create Request
- Fill in:
- Recipient — Name and email of the person you're requesting from
- Items — List of specific documents or information needed
- Deadline — When you need the evidence by
- Message — Any additional context or instructions
LOQI can also generate PBC items using AI based on your audit program — click Generate Items to get suggested requests.
Sending the request
- Review the request details
- Click Send
- The recipient receives an email with a secure link
- They click the link to access the PBC portal — no LOQI account needed
The PBC portal
Recipients see a simple, secure page where they can:
- View the list of requested items
- Upload files for each item
- Add comments or notes
- Submit their response
Tracking submissions
Back in LOQI, you can track the status of each request:
| Status | Meaning |
|---|---|
| Sent | Request sent, awaiting response |
| Partially Submitted | Some items uploaded, others pending |
| Submitted | All items uploaded by the recipient |
| Reviewed | You've reviewed the submitted evidence |
Reviewing evidence
When evidence is submitted:
- Open the request to see uploaded files
- Review each document
- Accept the evidence or request additional items
- Accepted evidence is linked to the relevant procedures
Sending reminders
If a deadline is approaching or has passed, click Send Reminder to notify the recipient again.
